Assistant Manager Trust Client Services

Job Description

Our client, a well-known and international corporate and financial services firm, is seeking to recruit an Assistant Manager for their Client Services department.

 

Overall duties

The primary purpose of this role is to play an integral and vital part in the smooth running of the Client administration, enabling the Malta team to provide an efficient, professional service to the clients and entities under management. The Assistant Manager works within the client services area and reports to the Head of Corporate & Fiduciary Services, based in Malta.

 

Responsibilities

  • Co-ordinate new client take-on, arrange and participate in client meetings and provide client service management;
  • Provide support to team members and foster company values;
  • Provide direct assistance and reporting to Client Manager and Head of Office;
  • Perform all aspects of corporate and/or trust administration, including the incorporation and dissolution/liquidation of companies and other structures;
  • Liaise with clients (both internal and/or external), professional advisors and other third parties and intermediaries;
  • Demonstrate an understanding of financial transactions and prepare documents in relation to both routine and complex transactions, including minutes and resolutions;
  • Record all time spent accurately to facilitate invoicing and internal reporting;
  • Maintain an ongoing relationship with the client to ensure clear communications with and a successful rendering of administration services to the client;
  • Providing technical support, coaching, and mentoring to non-senior team members;
  • Act as the nominated representative of the company in relation to company secretary appointments for client entities;
  • Assist with complaints resolution and escalating client queries or issues;
  • Contribute to the achievement of the team’s KPIs
  • Conduct Client reviews and action remediation as necessary; Recognise and contribute to the mitigation of risks
  • Act as an authorised signatory;
  • Participate in ad-hoc projects when required.
  • Responsibility for implementing and maintaining controls relevant to the position.

 

Requirements

  • Have a recognised professional qualification in the field, STEP would be ideal
  • Have a minimum of 5 years relevant work experience, in the administration of trust;
  • Knowledge and experience of working under Malta and international company law, specifically as to holding and finance vehicles, financing, corporate transactions, incorporation and liquidation would be an advantage.
  • Be fluent in English (written and spoken)
  • Able to structure work logically and efficiently in a high-pressure environment.
  • Able to demonstrate a strong commitment towards Risk Management and excellence.
