Job Description

WOW Malta is looking for new team member to cover the position of Assistant Wedding Planner and Assistant Wedding Coordinator.
Position is part time for the first year with possibility of upgrading to full time

The Assistant Wedding Planner (80%) will be expected to help with all aspects of wedding planning process, under the direction of the wedding planner.
Major tasks include, but are not limited to:

  • Creating of proposal for new prospective clients
  • Creating of online planning account for new contracted clients
  • Admin support with printing and filing of clients contracts and invoices
  • Booking of suppliers and constant communication throughout the planning process  to ensure proper execution of their service
  • Updating of clients event details
  • Tracking and updating of clients budgets
  • Assist with collection of clients paper work for marriage application
  • Delivery of clients wedding application to Marriage Registry office
  • Updating and maintenance of suppliers database
  • Updating and maintenance of wedding venues data base and budget guides
  • Keep organized clients portfolios  and testimonials database

The perfect assistant will be passionate about making sure that clients have positive planning experience.

  • must have the ability to prioritize and work in fast-paced environment.
  • posses excellent organizational skills, eye for details and excellent follow up (crucial when working with vendors).
  •  must have excellent communication skills – reading, writing and oral proficiency in the English Language.
  • Excellent knowledge of MS office – word, excel, outlook.

Experience: Experience in event management, office admin and/or hospitality is considered as an asset.


  • Casual attire is allowed during office work while professional, conservative attire is required during clients meetings
  • Must have reliable transport

The Assistant Wedding Coordinator (20%)  will be expected to help with all aspects of the wedding day, under the direction of the wedding planner.
Some tasks include, but are certainly not limited to:

  • Behind-the-scenes work
  • Assisting guests
  • Tending to the bridal party
  • Setting up, detailing and breaking down items such as programs, escort cards, decor, tables, chairs, linens, place settings, etc
  • Directing the wedding party prior to and during ceremony
  • Making sure the ceremony runs according to schedule
  • Greeting guests and answering questions
  • Receiving gifts and placing in designated location
  • Interacting with venue staff and vendors

Skill-set: The perfect assistant will be extremely detail-oriented, professional, provide excellent customer service and always have a smile (even when guests are driving you nuts). The ability to take direction well and think quickly on their feet is an absolute must, as well as have a positive attitude at all times, especially under stressful situations. The assistant must be able to take directions as well as be proactive and work unsupervised. An upbeat personality, excellent customer service and a sense of humour are absolutely necessary.

Experience: Experience in the hospitality industry is preferred. It is beneficial to have experience in catering or as a banquet assistant.

Physical Requirements: The assistant will be on their feet for many hours (10-16) at a time and be able to move furniture and décor.

Attire: Professional, conservative and smart.

  • Must have reliable transportation.
  • No fraternizing with guests.
  • No alcohol consumption during working hours.
